Kavya Tours Nepal ("we", "us", "our") respects your privacy. This policy explains what personal information we collect through kavyatoursnepal.com and our booking process, why we collect it, how we store it, and the choices you have.
1. Information we collect
Information you give us
- Contact details: full name, email address, phone number, mailing address.
- Trip details: travel dates, party size, itinerary preferences, dietary needs.
- Booking details: passport number, date of birth, emergency contact, insurance policy number — only when a booking is confirmed and only for the purpose of that booking.
- Payment details: processed by our PCI-DSS compliant payment providers (Stripe, our bank's ACH portal). We do not store full card numbers on our own servers.
Information we collect automatically
- Standard web server logs (IP address, browser type, pages viewed, referrer) for security and troubleshooting, retained for 30 days.

2. How we use your information
- To reply to your enquiry and prepare an itinerary.
- To confirm bookings, issue invoices, arrange guides, flights, permits and lodging.
- To communicate essential trip updates before and during your travel.
- To meet legal, tax and accounting obligations in the United States.
- With your explicit consent only, to send occasional newsletters (unsubscribe link in every email).
3. Who we share your information with
We share the minimum necessary information with:
- Our ground team in Nepal (guides, hotels, domestic airlines) when required to deliver your trip.
- Payment processors (Stripe, our US bank).
- Government authorities when legally compelled (subpoena, court order).
We do not sell, rent, or trade your personal information to any third party for marketing purposes. Ever.
4. International data transfers
Because your trip is delivered in Nepal, some of your information (name, dates, dietary needs, passport copy for permits) is transferred to our Nepali partners. Nepal is not currently subject to an EU adequacy decision; we rely on your explicit consent, given at time of booking, as the legal basis for this transfer.
5. How long we keep your data
- Enquiry-only contacts: up to 24 months after last contact.
- Confirmed bookings: 7 years after trip completion (US tax retention).
- Newsletter subscribers: until you unsubscribe.
6. How we protect your data
Our website is served over HTTPS with a valid TLS certificate. Booking records are stored on password-protected US-hosted servers with encrypted backups. Access is limited to Patricia Williams and two authorised trip designers.
7. Your rights
You may at any time ask us to:
- See a copy of the personal information we hold about you.
- Correct information that is inaccurate.
- Delete your information (subject to the retention obligations above).
- Withdraw consent for marketing communications.
- Object to processing or request data portability.
Residents of California (CCPA), the EU/EEA (GDPR), the United Kingdom, and other jurisdictions with equivalent laws are entitled to these rights. To exercise any of them, email contact@kavyatoursnepal.com. We respond within 30 days.
8. Children's privacy
Our services are not marketed to anyone under 16. We do not knowingly collect information from children. Family bookings are made through a parent or guardian.

Our site may link to third-party websites (Instagram, TripAdvisor, our partners). Their privacy practices are their own; please read their policies before sharing information with them.
10. Updates to this policy
We may update this policy from time to time. The "Last updated" date at the top will always reflect the current version. Material changes will be posted on this page for at least 30 days before taking effect.
