
The plain-English agreement between you and Kavya Tours Nepal LLC.
These Terms & Conditions govern every booking made with Kavya Tours Nepal LLC ("Kavya", "we", "us"). By paying a deposit or booking a trip you confirm that you have read, understood and accepted them.
If you cancel:
If we cancel a departure (very rare, typically only for safety), you receive a full refund or the option to move to another departure with no penalty. We are not liable for consequential costs (airfare, visa fees).
Comprehensive travel insurance including medical evacuation is mandatory for every guest on any trek above 3,000 m. We recommend Global Rescue or World Nomads and will not begin the trekking portion without proof of policy.
You are responsible for ensuring that your health and fitness are suitable for the trip you have booked. Our itineraries clearly state altitude, daily walking hours and difficulty grade. We reserve the right to remove any traveler from a trek if, in the reasoned opinion of the lead guide, continuing would endanger them or the group.
You must hold a passport valid for at least 6 months beyond your return date. Nepal offers visas on arrival for most nationalities. Trekking permits (TIMS, national park entry, restricted-area permits) are included in the trip price and arranged by our Kathmandu office.
We are not liable for delay, cancellation or itinerary change caused by events outside our control: earthquakes, floods, epidemics, strikes, government action, flight cancellation or road closure. Where possible we will re-route; refunds beyond amounts recoverable from suppliers are not guaranteed.
Kavya acts as an agent between you and independent service providers (airlines, hotels, guides). We are not liable for their acts or omissions except to the extent required by applicable law. Our total liability to any traveler under these terms is limited to the amount paid by that traveler for the affected trip.
We may take photographs during your trip. You grant us a non-exclusive licence to use unedited images in our marketing. Tell your guide at any point if you would prefer not to appear in Kavya media — there is no penalty and no need to explain.
You agree to respect Nepali culture, laws and religious sites, to follow reasonable instructions from your guide, and to treat crew and fellow travelers with courtesy. We reserve the right to terminate the trip of any traveler whose conduct materially disrupts the group. No refund is due in that case.
These Terms are governed by the laws of the State of New Jersey, USA. Any dispute that cannot be resolved amicably will be submitted to the state or federal courts sitting in Ocean County, New Jersey.
